How we work

You see it work on real cases before you commit to anything.

Every engagement follows the same three steps. The first one is free, the second is a fixed price, and the third is month to month.

    Week 0 · Free

    Workflow audit

A 30-minute call and a written map of where your team's hours go.

We ask about a normal week: what comes in, who touches it, where it stalls. You get back a ranked list of what to automate first, what it would take, and a fixed price for each. No commitment.

    You get

    • Workflow map of your intake, paperwork, and communication
    • Ranked list of automation candidates with expected hours saved
    • Fixed-price quote for a pilot

    2 to 4 weeks · Fixed price

    Pilot

One workflow built end to end and run alongside your team on real cases.

We connect to the tools you already use, build the workflow, and run it in shadow mode first so you can see every decision it would have made. Then it goes live with a human handoff for anything it isn't sure about.

    You get

    • One workflow live in your systems
    • Daily accuracy and handoff report during the pilot
    • Documented handoff rules and disclosure language
  3. 03

    Monthly · Cancel any time

    Run & improve

We monitor, handle edge cases, and tune every month.

Workflows drift as your business changes. We watch them, fix what breaks, add the next workflow when you're ready, and send a plain-English report of what ran, what got handed to a person, and what changed.

    You get

    • Monitoring and edge-case handling
    • Monthly tuning and report
    • One point of contact for anything

What we mean by a workflow

Six parts, every time

Whether it answers a phone, reads a document, or drafts an email, every workflow we build has the same shape. The handoff and the log are never optional.

  1. 1TriggerA call comes in, a document lands, an email arrives, a DM is sent.
  2. 2UnderstandThe AI reads it: who, what, how urgent, what's missing.
  3. 3ActBook, extract, draft, reply, update the record, in your systems.
  4. 4CheckConfidence and rules are checked. Anything uncertain stops here.
  5. 5Hand offA person gets the case with full context, or approves a draft.
  6. 6LogEverything is recorded so you can review it later.

Data and security

How we handle your data

Short version: we see only what a workflow needs, we log everything, we never train on it, and you can turn us off.

Least-privilege access

Each workflow gets access only to the systems and records it needs. Nothing broader.

No training on your data

We use model providers under terms that exclude training on customer data, and we never use your data to train anything ourselves.

Everything is logged

Every call, message, document, and decision is recorded with a timestamp so you can audit any action later.

Agreements before access

Business associate agreements for healthcare, confidentiality agreements for advisory and accounting firms, data processing agreements for everyone. Signed before we see a record.

Revoke any time

Access runs through credentials you control. Turn them off and the workflow stops.

You own the output

Prompts, configurations, integrations, and any accounts created for you are yours if we part ways.

Healthcare clients get a business associate agreement. Accounting and advisory firms get a confidentiality agreement. Everyone gets a data processing agreement. All signed before we access a single record. Ask for copies on the audit call.

Questions

About working with us

What do you need from us to get started?

Thirty minutes on a call and, for the pilot, read-only access to the systems the workflow touches. We handle the technical setup. Someone on your team reviews the workflow's decisions during shadow mode, which takes about fifteen minutes a day.

Who builds and runs the workflows?

A small senior team. The people who scope your work on the audit call are the people who build and operate it. You have one point of contact throughout.

What AI models do you use?

Whichever fits the task. Voice, document reading, and drafting each have different best options, and we choose per workflow. Every provider we use operates under terms that exclude training on your data.

What if our process changes?

That's what the managed plan is for. Tell your point of contact and the workflow is updated, usually within a few days. Small changes are included. Large ones are scoped like a new pilot.

Can we run it ourselves after the pilot?

Yes. Everything we build stays with you and is documented. Most clients prefer that we keep monitoring it, because the edge cases are where the time goes, but it's your choice.
